Have you talked with Butterfly and/or her helpers? I bet they can tell you what worked and what did not. They probably have some forms and guidelines about how to make it all work.
Another issues is that they also had years of experience on GD and a lot of activity in different roles, so they could also bring that to helping decide who was a good fit for whom.
